To make a booking at Great Barford Village Hall:
- Read the Summary of Terms and Conditions of Hire below.
- Full Terms and Conditions of Hire and Hire Charges are under the Documentation Tab.
- Go to the Online Calendar to check availability. Click on New Booking and fill in the form to make a provisional booking.
- Your provisional booking will be received and acknowledged by email by the Bookings Secretary.
- When your booking has been agreed by the Bookings Secretary, you will receive an invoice for (1) the deposit which you should pay immediately to secure the date and (2) the hire fee which should be paid 2 weeks before the hire date.
Summary of Terms and Conditions of Hire:
- The GBVHA agree to permit the hirer to use the premises and facilities for the purpose stated.
- The Hirer, whether an individual or an organisation, assumes responsibility for any and all damage caused by them or any members of their party, whether in the Hall, associated buildings or grounds.
- The Caretaker will open the hall at the time stated on the Hire Agreement and return before the stated closing time to check the hirers out of the hall and lock up. The hirer should not in any circumstances leave the hall unattended.
- All hirers should leave the Hall and its grounds in a clean, tidy and uncluttered condition and the floors swept.
- Tables used should be wiped clean before returning to the storeroom and Chairs stacked properly on the trolleys.
- All rubbish, including food waste and bottles, should be bagged and removed from the premises. Hirers may not use the Village Hall outside bins.
- Where the hirer has provided their own alcohol and paid the appropriate Corkage charge to the Bar at the beginning of the event, all the associated bottles should be removed from the property by the hirer at the end of the event.
- All hirings are to midnight. Bar sales and music must cease at 11.45pm, and the hall must be vacated by 12.30am, unless previously agreed.
- Music systems must be plugged into the sockets on the stage, thereby linked to the limiter which is set to an environmentally acceptable level. If this is not adhered to, GBVHA reserve the right to close the event.
- When music is played, the fire doors to the patio must remain closed.
- Hirers must not operate fireworks in the car park or any area around the Hall or on the adjacent playing field.
When you make a provisional booking, you are signing to say you have noted and will comply with these terms and conditions.
