How to Book at Galaxy Dance & Gymnastics Ltd

Step 1 – Read the Documents

Before making a booking, please read:

These contain all key details about hire charges, access, payments, licensing requirements, and venue rules.


Step 2 – Check Availability & Submit Booking Request

• Visit the Booking Calendar.
• Check availability for your desired date(s).
• Click New Booking and complete the booking form in full.


Step 3 – Pay Deposit to Secure Booking

• A 25% non-refundable deposit is required to confirm your booking.
• For certain one-off events, a £100 refundable cleaning deposit may also be required at the discretion of Galaxy Dance & Gymnastics Ltd.
• Bookings are only confirmed once both the completed booking form and deposit have been received.


Step 4 – Final Payment & Deadlines

• Full payment is due no later than 30 days before your hire date.
• Late payment may result in cancellation as per our Terms & Conditions.


Step 5 – Alcohol & Licensing

• The venue does not hold a premises licence. Alcohol may be consumed (but not sold) during hire.
• If you intend to sell alcohol or conduct other licensable activities, you must apply for a Temporary Event Notice (TEN) from Ashford Borough Council.
• A TEN can be applied for at any time before your event, but must be submitted no later than 10 working days before your hire date.
• It is the Hirer’s sole responsibility to apply and pay for any TEN. The Company accepts no liability for unlicensed activities.


Step 6 – Plan for Set-up & Pack-down

• All booked hire times must include your set-up and clear-down period.
• Please ensure you leave the venue clean, tidy, and free from rubbish, in line with our cleaning policy.
